Coal Valley Vineyard Functions and Events Terms and Conditions

 

For clients organizing functions at the Coal Valley Vineyard the following terms and conditions apply:

 

Final Confirmations and Payment
We require that the final number of guests be submitted to us not less than two full working days prior to the function. Payment in full of food and drinks packages must also be made at this time and no refund will be made if there are cancellations after this time. Full and final payment of additional drink costs must be made on the night of the function. The Coal Valley Vineyard does not accept personal cheques for final drinks payments.


Special Dietary Requirements
Please notify us of any specific food requirements when you confirm the final numbers. The sooner we are advised of special food requirements the easier it is for us to be able to cater for your guests.

 

Terms and conditions for functions

1. The Coal Valley Vineyard reserves the right to control the volume of any entertainment booked directly by the Client.
2. It is understood that the client will conduct their function in an orderly manner and comply with management requirements.
3. No food or beverage of any kind will be permitted to be brought into Coal Valley Vineyard Property for consumption at the function by the client or any of the client's guests, invitees or persons attending the function, unless by prior written consent by the Coal Valley Vineyard Function Manager
4. The client agrees to begin the function and vacate the premises at the scheduled starting and finishing times booked.
5. If Coal Valley Vineyard has reason to believe that a function will have a detrimental effect on the professional reputation or normal operation of Coal Valley Vineyard business, its security or reputation, it reserves the right to cancel the function without liability
6. Clients are financially responsible for any damage sustained at the Coal Valley Vineyard by the client, client's guests, invitees or other persons attending the function, whether in the room reserved or any area or part of the Property.
7. Coal Valley Vineyard will not accept any responsibility for damage or loss of merchandise left on the premises prior, during or after the function. Clients should arrange their own insurance and/or security.
8. For security purposes, the Coal Valley Vineyard reserves the right to exclude or eject any, or all, objectionable persons from the function on the Property without liability.
9. All packages and menus are current and subject to variation and price change. Prices will be confirmed once both the Function Manager and the Client have signed Function Agreement Forms.
10. The throwing of confetti, rice or glitter is not permitted and in the event of it happening, a cleaning fee of $75 will be charged. For the purpose of disease and hygiene in the vineyard we cannot allow the throwing of petals / rose petals or the release of butterflies. Please be sure to advise your guests of these restrictions.


Responsible Service of Alcohol
1. At the Coal Valley Vineyard we comply with all aspects of the Liquor Act including the responsible service of alcohol.
2. We will not serve liquor or allow the provision of liquor to any person under the age of eighteen years.
3. We will recognize the signs of intoxication and we will discourage service to the point of intoxication.
4. We cannot admit, serve, supply or allow the supply of alcohol to anyone who appears intoxicated.
5. We will not permit drunkenness, fighting, abusive or obscene language or suggestions, unwelcome advances or physical contact, directed at customers or staff.
6. Failure to observe the above principles may lead to refusal of service and a request to leave the property. In the event of an intoxicated customer refusing to leave upon such a request, our staff will call a taxi for them and provide them with a non-alcoholic beverage.
7. We ask that our clients nominate prior to the function one person to act as liaison between staff and intoxicated guests who have been refused service.


We will close the bar 30 minutes prior to the conclusion of a function to ensure guests have an opportunity to finish their drinks and depart on time.
